Maintenance Requests

Maintenance requests track reported issues in your properties. Tenants can submit requests through the Tenant Portal, or property managers can create them directly in Aqarjia.

Creating a Maintenance Request

  1. Navigate to Operations > Maintenance Requests and click Create.
  2. Fill in the details:
    • Unit -- The unit where the issue is located.
    • Category -- Plumbing, Electrical, HVAC, Structural, General, etc.
    • Priority -- Low, Medium, High, or Urgent.
    • Title -- A brief summary of the issue.
    • Description -- Detailed description of the problem.
    • Reported Date -- When the issue was reported.
  3. Click Save.

Each request receives an automatic reference number (e.g., MR-001).

Categories

Maintenance categories help organize and route requests to the right teams. Default categories include:

  • Plumbing
  • Electrical
  • HVAC / Air Conditioning
  • Structural
  • Painting
  • Cleaning
  • General Maintenance
  • Pest Control
  • Elevator
  • Security Systems

Categories are configurable in Settings > Maintenance Category.

Priority Levels

Priority Response Time Use Case
Low Within a week Cosmetic issues, minor repairs.
Medium Within 2-3 days Non-critical but affecting comfort.
High Within 24 hours Significant issues affecting livability.
Urgent Immediate Safety hazards, flooding, electrical dangers.

Status Flow

Maintenance requests follow a defined workflow:

  1. Open -- Newly created, awaiting review.
  2. In Progress -- Being worked on by maintenance staff or contractor.
  3. On Hold -- Paused, waiting for parts, tenant availability, etc.
  4. Resolved -- Work completed, issue fixed.
  5. Closed -- Confirmed resolved and closed out.

Converting to Work Orders

When a maintenance request requires external contractor work or detailed cost tracking, convert it to a work order:

  1. Open the maintenance request.
  2. Click Create Work Order.
  3. The work order is pre-filled with the request details.
  4. Add contractor assignment, cost estimates, and scheduling.

Tenant-Submitted Requests

Tenants can submit maintenance requests through the Tenant Portal. These appear in your queue with the tenant's description and are linked to the correct unit automatically. See Maintenance Submission.

Respond to urgent and high-priority requests promptly. The system tracks response times for reporting purposes.
