Inviting Your Team

Aqarjia supports multi-user collaboration within each organization. You can invite team members, organize them into teams, and control what each team can access.

Adding Members

  1. Navigate to Organization > Members from the sidebar.
  2. Click Invite Member.
  3. Enter the person's email address and select their initial role.
  4. Click Send Invitation.

The invited person will receive an email with a link to join your organization. Once they accept, they appear in your members list and can log in to your organization's subdomain.

Only organization owners can invite new members. If you do not see the invite option, contact your organization owner.

Understanding Roles

Every member in an organization has one of two base roles:

Role Description
Owner Full access to everything, including organization settings, billing, and member management.
Member Access is determined by the teams they belong to and the permissions those teams grant.

Creating Teams

Teams let you group members and assign permissions collectively:

  1. Go to Organization > Teams.
  2. Click Create Team.
  3. Enter a name and optional description for the team.
  4. Select the permissions this team should have. Permissions are organized by module (Properties, Leases, Invoices, Maintenance, etc.) and action (View, Create, Edit, Delete).
  5. Click Save.

After creating a team, add members to it:

  1. Open the team from the teams list.
  2. Click Add Member and select from your organization's members.
  3. The member immediately inherits all permissions assigned to that team.

Platform Team Templates

Aqarjia provides pre-built team templates to get you started quickly:

  • Property Manager -- Full access to portfolio and finance modules.
  • Accountant -- Access to financial data (invoices, payments, deposits) but limited portfolio access.
  • Maintenance Coordinator -- Access to maintenance requests, work orders, and contractors.
  • Viewer -- Read-only access across all modules.

You can use these templates as-is or customize them to match your organizational structure.

Permission Granularity

Permissions in Aqarjia are fine-grained. For each module, you can independently control:

  • View -- See records in lists and detail pages.
  • Create -- Add new records.
  • Edit -- Modify existing records.
  • Delete -- Soft-delete (archive) records.

A member's effective permissions are the union of all permissions from every team they belong to. If a member is in two teams and one grants "View Invoices" while the other grants "Edit Invoices", the member can both view and edit invoices.

Best Practices

  • Create teams that mirror your actual organizational roles rather than assigning permissions individually.
  • Use the Viewer template for stakeholders who need visibility but should not make changes.
  • Review team permissions periodically as your workflows evolve.
  • Keep at least two owners in your organization to avoid lockout scenarios.
